Automation & AI agents

Automation and AI agents for the work that does not need judgment

An AI agent is software that carries a task from start to finish: it reads an incoming message, looks up the answer in your own records, drafts a reply, and either sends it or hands it to a person. ANtreliX builds these agents, and the workflow automation around them, for vacation rental management companies and real estate brokerages. They run inside the systems you already use, with review gates and a log of everything they do, so the repetitive work stops growing with your portfolio.

Who it is for

Take the repetitive work off your team without taking the judgment out of it.

  • Teams answering the same guest or buyer questions dozens of times a week.
  • Brokerages losing leads because the first response takes hours rather than minutes.
  • Operations staff assembling owner statements and reports by hand.
  • Companies whose headcount has to grow in step with their portfolio.
What you get

Deliverables, not slideware.

Workflow map with time and cost per repeated task

Guest and lead communication automation with review gates and escalation rules

Document and statement processing, including owner reporting

Listing and property content produced to your standard, at portfolio scale

An internal knowledge assistant answering from your own procedures

Written SOPs and team training so the capability outlives the project

Engagements are shaped rather than priced from a menu: a fixed-scope assessment first, a defined build second, and an ongoing retainer only where continuing work earns it. You will know the scope and the cost of each stage before it starts.

Workflows we build for vacation rental managers

These are the tasks that repeat across every property and every week, which is exactly why they are worth automating first.

Guest messaging

Pre-arrival, check-in and mid-stay questions such as Wi-Fi, parking, trash day and early arrival are answered from each property's own fact sheet. Anything about refunds, damage or safety goes straight to a person.

Owner statements

The agent pulls the month's reservations and expenses, reconciles them against your property management system, and drafts the statement with a plain-English note on what changed. A coordinator reviews and approves it.

Maintenance and turnover triage

Incoming issues are classified, routed to the right vendor or crew, and flagged when the same problem keeps returning at one property.

Listing and property content

Descriptions and image alt text are generated from verified property data and reviewed before anything is published, so a large portfolio stays consistent.

Owner-lead follow-up

When a homeowner asks about management, they get a prompt, well-informed reply that asks the right qualifying questions, and your team picks up from there.

Workflows we build for real estate brokerages

Brokerages lose business in the first hours after an enquiry and in the paperwork after a contract. Both are good places for an agent.

First response to new leads

Portal and website enquiries receive a fast, relevant reply with qualifying questions, and the conversation is written back to the CRM as notes your agents can read.

Listing packages

Listing descriptions, social posts and email drafts are produced from one set of verified listing facts, in your brand's voice, ready for the agent to approve.

Transaction follow-through

Checklists and deadline reminders keep contracts moving, and the right person is alerted when something is late.

An assistant for your agents

Agents can ask questions about your policies, forms and procedures and get an answer drawn from your own documents instead of interrupting the broker.

How an agent stays accurate

The most common failure of AI in customer-facing work is confident invention, so accuracy is designed in rather than hoped for. Answers are drawn from your own documents and property or listing data rather than from what a model happens to remember, and every answer is logged alongside the source it came from.

We also decide in advance how much freedom the agent has. Routine questions with a clear answer can be sent automatically, anything with money, safety or a relationship at stake is drafted for a person to approve, and a short list of topics always goes to a human. Each week we review what was escalated and what was corrected, and the agent's knowledge base is updated from it.

Send automatically

Low-risk questions with a documented answer, such as directions, amenities and check-in times.

Draft for approval

Anything involving a refund, a complaint, pricing or an exception, written by the agent and sent by your team.

Always a person

Safety, legal, damage claims and upset guests or clients are routed to your staff immediately.

We track four numbers so the results are measured rather than assumed: how often answers are correct, how often the agent escalates, how quickly the first reply goes out, and how many staff hours were recovered.

What the first 30 days look like

Week 1

We map the repetitive work, count how often it happens, and choose a single high-volume task to start with.

Weeks 2 and 3

We build that one workflow inside your existing systems, with the escalation rules and the logging in place from the beginning.

Week 4

The agent runs in draft-only mode, so your team sees everything it would have done before it is allowed to send anything on its own.

After that

Permissions are loosened where the results justify it, and the next workflow begins once the first is trusted.

Questions

The things people ask before they call.

Will AI be talking directly to our guests or clients?

Only where you decide it should, and by default drafts go to a person before they send. Reputation is the asset here; speed is worth less than trust.

What stops it inventing things?

Answers are generated from your own documented procedures and property data rather than from open-ended guessing, and anything outside that scope escalates to a person. Every interaction is logged so you can audit what was said.

Does this mean cutting staff?

Not in the engagements we run. It means the same team handling a larger portfolio and spending their day on exceptions and guests instead of copying and pasting.

Which systems can you work with?

Property management systems including Streamline, Track, Hostaway and Guesty; real estate CRMs including Follow Up Boss and kvCORE; plus email platforms, spreadsheets and the internal tools you have built yourself.

Are you an AI agency?

ANtreliX is an AI consultancy rather than an agency. We start with the business problem, then design, build and maintain the AI agents and automation that solve it for vacation rental management companies and real estate brokerages, so you get a working system and not just a recommendation. Agency-style marketing production is handled by a separate company, Style Strand Media.

What is the difference between a chatbot and an AI agent?

A chatbot answers questions in a chat window. An AI agent also acts: it can look up a reservation or a listing, draft the reply, update your property management system or CRM, and route the task to the right person, all under rules you set and with a record of what it did.

How quickly is there something working?

The first workflow is usually live within weeks, because we deliberately start with a single high-frequency task rather than a platform-wide rollout.
